Clear your inbox with a ten-minute daily triage

Let AI sort the day’s email into reply, delegate, read later and ignore, and draft the easy replies, with you pressing send on every one.

The job: Email arrives all day, the important messages get buried, and replying to routine ones eats the first hour of every morning.

What AI actually does here

  • Sorts new messages into a short list of categories with a one-line reason for each.
  • Drafts replies to routine messages in your tone for you to edit.
  • Pulls out deadlines and requests into a to-do list.

Tools to look at

  • AI built into your email (for example Gemini in Gmail or Copilot in Outlook, depending on your plan)
  • A general assistant with messages pasted in, for occasional use

Named tools are examples, not endorsements. We have no paid relationships with them at the moment; see our disclosure.

What you need first

  • Read-only access where possible. OWASP’s guidance on “excessive agency” uses exactly this case: an email-summarising assistant that could also send mail was tricked by a malicious email into forwarding sensitive messages.
  • A firm rule: AI drafts, you send. Never let it send, forward or delete on its own.
  • A check that your email provider’s AI features and data terms fit your business’s obligations (see the ICO guidance).

How to measure ROI

  • Minutes a day spent on email, measured for a week before and after.
  • Missed or late replies to important messages.
  • Drafts sent with little editing, a sign the tone and content are right.

1. Sort each into: REPLY TODAY, DELEGATE (suggest to whom: [list roles]), READ LATER, IGNORE. Give a one-line reason.
2. For REPLY TODAY messages that are routine, draft a reply under 100 words in a friendly, plain British English tone. Mark anything that needs a fact I must check as [CHECK].
3. List every deadline or request with a date.
Do not draft replies that agree to payments, contracts or sharing documents: flag those for me instead.
